Privacy Policy

Excelmeet (the “App”) is an internal conference-room and phone-booth booking tool operated by Excelsource (the “Organization,” “we,” “us”). It is intended for use by our employees. This policy explains what information the App collects, how we use it, and the choices you have.
Information we collect
- Account information you provide when you register or your administrator sets up your profile: your name, work email address, company, department, and assigned floor.
- Authentication data: one-time verification codes sent to your email to confirm your identity at sign-in and registration.
- Booking data: details of reservations you create, such as meeting title, purpose, date and time, room, attendee count, and any notes you add.
- Optional calendar data: if you choose to connect Google Calendar or Microsoft Outlook, we store the access tokens needed to add your bookings to your calendar.
- Technical data: standard server logs (e.g. request time and error information) used to operate and secure the service.
How we use your information
- To authenticate you and keep your account secure.
- To create, display, and manage room and phone-booth bookings.
- To send transactional emails you have triggered — verification codes, booking confirmations and cancellations, and meeting reminders.
- To apply your organization’s floor-access and booking-hours policies.
- To maintain, troubleshoot, and improve the service.
We do not use your information for advertising, and we do not sell it.
How information is shared
We do not share your personal information except with service providers that process data on our behalf to run the App:
- Amazon Web Services (AWS) — hosting, database, and email delivery (Amazon SES) for the transactional emails above.
- Google / Microsoft — only if you connect your calendar; booking event details are sent to that provider to create the calendar entry. You can disconnect at any time.
Data retention
We keep your account and booking information for as long as your account is active or as needed to operate the service. You can ask your organization administrator to update or delete your profile and associated data.
Security
All traffic between the App and our servers is encrypted in transit using HTTPS. Access to data is restricted to authorized administrators. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.
Your choices
- Review and update your profile details in the App.
- Disconnect a linked calendar at any time.
- Request access to, correction of, or deletion of your data by contacting us at the address below or via your administrator.
Children
The App is a workplace tool for employees and is not directed to children under 13 (or the minimum age in your jurisdiction).
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
